Alma - Primo: Collections

Basics

Discovery Collections can showcase special collections of books, media, and more. 

You will need alma authorization roles: "collections editor" and "collections editor extended."  

Overview

  • Create set of records
  • Configure collection shell (tip--have title image ready)
  • Link records to collection

 

Sets

Create a set of records in Alma

Create a logical set

  • Search repository for desired records. Note, you may want to use the advanced search.
  • Consider how your logical set will age. For example, if you use the facets to limit by year, for example, the set won't pick up new titles when the next year arrives.
  • Click on "Save and Filter Query" button.
  • Set details will open. Fill in required fields.
  • Click save.

Create an itemized set (such as from Analytics)

  • So, assume you created an analytic report in Analytics.  
  • Add the "MMS ID" field into your report for alma to identify the records.  MMS ID is one of the bibliographic fields.
  • Save analytic report.
  • Go to Admin->Manage jobs and sets -> Manage sets
  • Give set name 
  • Choose "From Analytics"   (Patience...this takes Alma a while. Don't you have email to answer?)
  • Select Analytic Folder.  Ex. Minnesota State University Moorhead 01MNPALS_MSUMOOR/Reports/...
  • Save set

Collection Metadata

Configure Collection

From Resources -> Manage Inventory -> Manage Collections, click Add Top-Level Collection

  • Fill out the required fields. The Title and Name of the collection should be the same, and the Name of the collection must be unique among all top-level collections.
  • Graphics Thumbnail. 
  • Click Save and Continue to save your new collection and open the Collection Resource Editor page and add more information for the collection.
  • To Edit: Go to Resources -> Manage Inventory -> Manage Collections, Click the ellipsis next to the collection you want to work in and select edit

From Resources->Manage Inventory -> Manage Collections

From existing set

  • Open your collection.
  • Go to Title List tab.
  • Choose +Add Titles from Set.
  • Click the radio button next to set.
  • Hit "Add Set Titles" button & Confirm.

Add individually by title

  • Open your collection.
  • Go to Title List tab.
  • Choose +Add Title.
  • Search for title.
  • Select radio button by title(s) you want.
  • Click "Add Titles" & Confirm.
     

Important: Wait for Primo to refresh. (Go get coffee.)
